We recognise that privacy, confidentiality and discretion are particularly important to the individuals, families and organisations participating in the Forum.

This Privacy Policy explains how we collect, use, store and protect personal information in connection with the Forum and our website, www.familycapitaldesign.com.

We aim to manage personal information responsibly and in accordance with applicable privacy legislation, including the New Zealand Privacy Act 2020 and, where applicable, the Australian Privacy Act 1988.

We may use personal information to:

  • Review and respond to applications to attend the Forum.
  • Manage registrations, ticketing, payments and event attendance.
  • Communicate important information about the programme, speakers, venue and event arrangements.
  • Coordinate with speakers, partners and event service providers.

4. Attendee Confidentiality

The Forum is designed to provide a trusted environment for meaningful discussion and the exchange of ideas.

We respect the privacy of our attendees and recognise that some participants may prefer to keep their involvement confidential.

We do not sell or provide attendee contact lists to sponsors, partners or other third parties for independent marketing purposes.

We may share limited attendee information where reasonably necessary for event administration, including with the venue, ticketing provider or other contracted service providers.

We will not publish an attendee’s personal contact details without their permission.

Where attendee names, organisations or participation details are proposed for inclusion in a published delegate list or other public-facing material, we will provide an appropriate opportunity to consent or opt out.

5. Sharing Information With Third Parties

To deliver the Forum effectively, we may share relevant information with trusted third parties, including:

  • Event registration and ticketing providers, including Humanitix.
  • The event venue and hospitality providers.
  • Website hosting, email communications and technology service providers.
  • Professional advisers or contractors assisting with event administration.
  • Regulatory authorities where disclosure is required or authorised by law.

We seek to limit any information shared to what is reasonably necessary for the relevant purpose and to work with service providers that maintain appropriate privacy and security protections.

Our sponsors and partners do not automatically receive access to attendees’ personal contact information.

Where you independently choose to engage with a sponsor, partner or speaker, any information you provide directly to them will be subject to their own privacy practices.

6. Event Photography and Recordings

Photographs or recordings may be taken during the Forum for event documentation, reporting and promotional purposes.

Where practical, attendees will be informed of photography or recording arrangements.

We will be mindful of the Forum’s confidential nature when selecting material for public use.

Attendees who have concerns about being photographed or recorded may contact the organiser before or during the event.

We will seek appropriate permission before using identifiable photographs or recordings in circumstances where consent is required.

7. Data Storage and Security

We take reasonable steps to protect personal information against unauthorised access, misuse, loss, alteration or disclosure.

Personal information may be stored using secure electronic systems operated by us or our contracted service providers.

Access is limited to individuals who reasonably require the information to perform their responsibilities.

Although we take reasonable precautions, no method of electronic storage or transmission is completely secure.

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including legitimate event administration, recordkeeping and legal obligations.

When information is no longer required, we take reasonable steps to securely delete or de-identify it.

8. Overseas Storage and Disclosure

As the Forum is organised by an Australian-based business and held in New Zealand, personal information may be accessed, processed or stored across both countries.

Some technology and service providers may also process or store information in other jurisdictions.

Where personal information is disclosed overseas, we take steps to comply with applicable privacy laws and to ensure appropriate protections are in place.

9. Marketing and Future Communications

We may contact you with information relating to your application, registration or participation in the Forum.

We may also invite you to receive updates about future Forum events and closely related initiatives.

Where required by law, we will obtain your consent before sending marketing communications.

You may opt out of marketing communications at any time by following the unsubscribe instructions provided or contacting us directly.

Opting out of marketing communications will not prevent us from sending essential information relating to an event for which you have registered.

10. Cookies and Website Analytics

Our website may use cookies or similar technologies to support website functionality, understand visitor activity and improve the user experience.

These technologies may collect technical information such as browser type, device information, IP address and pages visited.

You can generally manage cookies through your browser settings. Disabling certain cookies may affect website functionality.

Where required by applicable law, we will seek consent for non-essential cookies or tracking technologies.

We will respond within the timeframes required by applicable privacy legislation.

12. Privacy Concerns and Complaints
